📣 AURA BASEBALL CLUB INC. – 2026 ANNUAL GENERAL MEETING

Aura Baseball Club Inc. will be holding its 2026 Annual General Meeting (AGM) and we invite our members to attend and be involved in the future direction of the Aura Angels. ⚾❤️💙

📅 Wednesday 28 October 2026
⏰ 6:00pm start – please arrive by 5:45pm
📍 Caloundra RSL – Sub Branch Room

Please note: No food is permitted to be taken into the meeting room.

ATTENDANCE AT THE AGM

The Annual General Meeting is a meeting of Aura Baseball Club Inc. members and invited guests.

Junior Members are welcome to attend with their parent or guardian; however, Junior Members do not have voting rights.

Persons who are not members of Aura Baseball Club Inc. may only attend as an invited guest of the Club or as a properly appointed proxy in accordance with the Club's Constitution.

The AGM is not an open public meeting.

All attendees will be required to register on arrival. Membership and voting eligibility will be confirmed prior to commencement of the meeting.

⚾ MANAGEMENT COMMITTEE ELECTIONS

In accordance with the Aura Baseball Club Inc. Constitution, all current Management Committee members retire from office at the AGM and are eligible to nominate for re-election.

Elections will be held for:

🔹 President – 1 position
🔹 Vice President – 1 position
🔹 Secretary – 1 position
🔹 Treasurer – 1 position
🔹 General Committee Members – 3 positions

We encourage members who would like to contribute to the continued development and operation of Aura Baseball Club to consider nominating.

📝 COMMITTEE NOMINATIONS CLOSE – WEDNESDAY 14 OCTOBER 2026

Nominations for Management Committee positions must be received by the Secretary at least 14 days before the AGM.

Each nomination must:

✔️ Be made by two Aura Baseball Club Inc. members
✔️ Be in writing
✔️ Be signed by both nominating members
✔️ Be signed and accepted by the candidate
✔️ Nominate an eligible adult candidate who meets the requirements of the Constitution

The Constitution requires written nominations to be provided to the Secretary at least 14 days before the AGM.

If there are insufficient nominated candidates to fill the available positions at the start of the AGM, nominations may be accepted from the floor in accordance with the Constitution.

📋 ANNOUNCEMENT OF COMMITTEE NOMINEES

Following the close of nominations, the Secretary will confirm the eligible candidates standing for election.

The final list of nominees will be announced/displayed no later than Wednesday 21 October 2026.

The Constitution requires the candidate list to include the candidates' names and the names of the members who nominated them and to be displayed for at least seven days immediately preceding the AGM.

This gives members an opportunity to consider the candidates before voting at the AGM.

🗳️ WHO CAN VOTE AT THE AGM?

Voting rights are determined by your Aura Baseball Club Inc. membership class.

✅ ORDINARY MEMBERS

Ordinary Members are eligible to:

✔️ Vote at the AGM
✔️ Nominate eligible members for Management Committee positions
✔️ Be nominated and elected to the Management Committee, provided they meet the other eligibility requirements

Ordinary Membership can include adults involved with Aura through playing, coaching or volunteering.

✅ LIFE MEMBERS

Life Members have full membership rights, including:

✔️ Voting rights
✔️ Eligibility for election to the Management Committee

Life Membership is granted by special resolution of the Club.

❌ JUNIOR MEMBERS

Junior Members are members under 18 who are registered baseball players.

Junior Members:

✖️ Do not have ordinary voting rights
✖️ Cannot be elected to the Management Committee

❌ ASSOCIATE MEMBERS

Associate Members are non-voting supporters, volunteers and social members.

Associate Members:

✖️ Do not have ordinary voting rights
✖️ Cannot be elected to the Management Committee

👨‍👩‍👧 PARENTS & GUARDIANS OF JUNIOR PLAYERS – WOULD YOU LIKE TO VOTE?

If your child is registered with Aura as a Junior Member, their registration does not automatically make you, as their parent or guardian, a voting member of Aura Baseball Club Inc.

If you are a non-playing parent or guardian and would like to become a voting member of Aura, you can register yourself through GameDay and select:

Adults admitted to Aura membership who register through GameDay under the Volunteer registration category will be recorded by Aura Baseball Club Inc. as Ordinary Members – Volunteer.

As an eligible Ordinary Member, you can:

✅ Vote at the AGM
✅ Nominate eligible members for Management Committee positions
✅ Be nominated for a Management Committee position if you meet the eligibility requirements
✅ Have a say in the future direction of Aura Baseball Club Inc.

You do not need to be a playing member to be a voting member of Aura.

📅 Please complete your Volunteer registration by Wednesday 21 October 2026 to allow the Club sufficient time to process your registration and confirm your inclusion on the AGM voting register.

🗳️ ONE VOTE PER ELIGIBLE MEMBER

Voting rights are based on individual membership – not per player, child or family.

For example, if both parents or guardians of a Junior Member separately register and are admitted as eligible Ordinary Members, each parent has their own vote.

Likewise, having more than one child registered with Aura does not provide additional votes.

Each eligible voting member has one vote.

This is consistent with Rule 38 of the Constitution, which provides each eligible member with one vote.

💰 MEMBERS MUST BE FINANCIAL TO VOTE

Eligible voting members must also be financial in accordance with the Constitution.

A member whose annual subscription is in arrears at the date of the AGM is not entitled to vote.

The 2026 AGM Member Information Pack will be emailed to members by:

This allows the Club to finalise membership records following the 21 October requested registration date and ensure the AGM information is distributed to the appropriate members.

📄 President's Annual Report
📄 Treasurer's Report
📄 Annual Financial Statements and relevant financial reporting documents
📄 Final list of Management Committee nominees
📄 Any resolutions to be considered at the AGM
📄 Other relevant AGM documents

Members are encouraged to take the time to review the AGM pack before attending the meeting.

Please note: Where a matter requires formal advance notice under the Constitution, including a proposed special resolution, the required notice will be provided separately within the applicable constitutional timeframe and will not be left until the AGM Member Information Pack. The Constitution requires at least 14 days' notice of a general meeting and requires the notice to state the business to be conducted.
